Poland combines major manufacturing centres with a broad regional delivery network. Freight may enter Europe through a western hub before travelling by road to Warsaw, Kraków, Wrocław, Gdańsk or a smaller municipality. The final Polish postcode and customs party should be prepared before dispatch.

Establish the EU importer

A Polish business importing commercial goods generally needs the appropriate EORI and may use a customs representative. Confirm the legal importer, tax details and broker before collection. A delivery warehouse should not be assumed to provide customs representation.

For stock sold to a distributor, use the purchasing entity’s correct legal name and transaction documents. If an Australian business owns stock moving into a Polish fulfilment centre, it may need a different VAT and importer arrangement.

Build a customs-ready invoice

Describe the actual item, its material, function, quantity, value and origin. For manufacturing components, add part number and the machine or process they serve. For consumer products, state the product category rather than “online order”.

List multiple commodities separately and align the invoice with the packing list. Free samples, warranty replacements and intercompany transfers still require a defensible customs value and reason for movement.

EU VAT, duty and IOSS

Polish imports from Australia can attract customs duty and import VAT according to tariff classification, origin and transaction. IOSS may apply to qualifying direct consumer sales of non-excisable goods in consignments up to €150 when VAT was collected at sale.

IOSS is not designed for ordinary B2B stock or every low-value parcel. The seller must pass its valid identifier securely through the correct electronic data, while the importer or receiver should understand any amounts still payable.

Use Polish names and postcodes accurately

Provide company or recipient, street name, building and apartment number, five-digit postcode in the NN-NNN format and locality. Use Polish diacritics when the system supports them and preserve the receiver’s spelling rather than creating an English version.

Add a local telephone number. Many apartment buildings use controlled access, while factories and logistics parks can have gatehouses, delivery windows and multiple facilities under one corporate name.

Gateway scans and Polish linehaul

International air networks may route through Warsaw or another EU hub such as Leipzig, Frankfurt or Amsterdam. A clearance or departure scan at the gateway can occur before the shipment enters the Polish domestic network.

Western industrial regions, the Baltic coast, eastern Poland and mountain areas use different depot paths. Provide the final postcode and do not promise a capital-city estimate nationwide.

Machinery and automotive supply chains

Polish industry receives machinery, tooling, electronics and automotive components. These goods benefit from detailed model, serial and functional descriptions, particularly for warranty replacements or parts sent for testing.

Used machinery should be clean, safely drained and documented. Batteries, oils, gas cylinders and chemicals must be disclosed; used status can also affect valuation and product requirements.

Food, supplements and regulated retail products

Food, animal products, plants, supplements, medicines, cosmetics and medical devices can require EU and Polish controls. The importer should confirm composition, labelling, notification and certificate requirements before uplift.

Commercial quantity matters. A product accepted as a genuine personal shipment is not automatically approved as inventory for retail distribution.

Prepare heavier freight for Polish delivery

Measure every completed pallet, including the base and wrap. State whether the load is stackable and keep goods inside the pallet footprint. International air cargo can involve several forklift transfers before final delivery.

Confirm forklift, dock or tailgate requirements at the Polish address. Construction sites and production plants may require booking references, safety inductions or delivery appointments beyond standard freight transport.
