An international courier quote is only as useful as the information behind it. “One box to London” leaves out the packed size, weight, contents, value, postcode, address type and deadline—the details that decide service availability, customs requirements and chargeable weight. Information to have ready
Provide the full collection and delivery addresses where possible. Country names alone cannot identify remote-area conditions, postcode restrictions or the correct last-mile service. For each package, give the final outer length, width, height and gross weight. List multiple cartons separately if their measurements differ.
Describe the contents precisely. “Clothing samples”, “stainless-steel pump components” or “printed catalogues” are more useful than “goods”. Include quantity, declared value, currency, country of manufacture and reason for export. If the shipment includes batteries, liquids, aerosols, chemicals, food, plant material or medical products, identify them before a service is proposed.
What a quote should make clear
- the quoted origin and destination points;
- the service level and estimated transit basis;
- whether pickup and final delivery are included;
- the weight and dimensions used for pricing;
- known surcharges or special-handling assumptions;
- customs-clearance scope and document requirements;
- who is expected to pay duties, taxes and destination charges;
- the quote validity period; and
- any commodity, value, size or address conditions.
The lowest transport figure is not always the lowest completed cost. A quote can change when actual dimensions differ, the address is remote, a pallet is non-stackable, paperwork is incomplete, storage accrues or the receiver declines duties. Compare the whole movement and the risk of avoidable rework.
Actual weight versus dimensional weight
International courier networks allocate aircraft and vehicle space as well as weight capacity. A large light carton may therefore be charged on a calculated dimensional weight. Measure the sealed package, including bulges, handles and external protection. If you quote the product rather than the package, the carrier may remeasure it and adjust the charge.
When you send the same products repeatedly, record the verified packed dimensions as a shipping profile. Recheck them whenever the carton, cushioning or pack quantity changes.
One-off shipments and regular lanes
A single international consignment still needs complete documents and a collection plan. Tell us when the freight will be packed, whether labels can be printed, who will be present for pickup and whether the address is residential or commercial. For imports, confirm that the overseas supplier will cooperate with collection and export paperwork.
Regular shippers should also share frequency, typical destinations, seasonal peaks and common package sizes. A managed account can then support the pattern across bookings, invoices and tracking while still checking service eligibility for unusual consignments.
Customs costs are different from courier charges
International transport pricing does not automatically settle import duties, taxes, government fees, brokerage, inspections or storage. The amount and payer depend on the destination rules, product classification, value, origin and agreed trade terms. Decide with your buyer or supplier who will act as importer and who will pay destination charges before the parcel leaves.
A detailed commercial invoice helps the carrier and authorities understand the transaction. Clever Couriers can identify information commonly required for the booking, but the exporter and importer remain responsible for declaration accuracy, licences, permits and tax advice.
When the quote needs manual review
Ask for assessment before packing if the item is unusually long, dense, fragile, valuable, temperature-sensitive or potentially regulated. The same applies to multiple pallets, wooden crates, temporary exports, repairs and returns. These details can change the suitable carrier, packaging standard, paperwork and collection equipment.
Do not tender undeclared dangerous goods. Damaged batteries, leaking products and prohibited articles cannot be made acceptable through a generic online description.
From quote to collection
Once you select an option, confirm the final measurements and documents before booking. Print and attach labels exactly as instructed, keep barcodes flat, remove old routing marks and have the freight ready at the accessible collection point. Retain a copy of the invoice, packing record and pre-dispatch photographs.
Transit dates are estimates unless a specific service term states otherwise. Customs decisions, aviation capacity, weather, public holidays and incomplete receiver responses can affect delivery.
