A freight quote should price a defined movement, not an unidentified object travelling between two cities. Pallet height, individual piece weight, stackability, loading equipment and receiver access can all change the suitable service.

Define the physical load
List every carton, pallet, crate, skid, tube or machine. Measure maximum outer dimensions and gross weight after packaging. For mixed freight, provide each piece rather than a single total volume.
State whether pallets are stackable and whether long or irregular items project beyond their base.
Use a useful commodity description
Describe the actual goods, materials and packaging. “General freight” does not reveal glass, batteries, chemicals, oil-filled machinery or high-value electronics. Restrictions must be checked before a rate becomes bookable.
Dangerous goods require correct classification, documentation and explicit acceptance.
Describe both sites
Provide full postcodes, address types, operating hours and loading equipment. Mention docks, forklifts, tailgates, cranes, gates, slopes, overhead clearance and appointment rules.

Set the timing requirement
Distinguish the ready date from the requested delivery date. Explain whether timing is preferred, firm or tied to production, installation or an event. This helps compare economy, scheduled, express and direct services appropriately.
Estimated transit is not an exact-time guarantee unless specifically confirmed.
Compare like with like
Check that each option includes the same freight profile and access. One quote may assume forklifts while another includes tailgate handling. One may be shared linehaul while another is a dedicated vehicle.
Do not compare prices until the service scopes are aligned.
What can change the final rate?
- dimensions or weight differing from the declaration;
- additional pieces presented at pickup;
- non-stackable or long freight not disclosed;
- residential or remote access;
- missing loading equipment;
- waiting, redelivery or address correction;
- special permits, cranes or dedicated vehicles; and
- carrier reclassification of the goods.
Online rates versus manual assessment
Regular cartons and compatible pallets can often be compared through the account. Machinery, true oversize, fragile high-value goods and complex site work usually benefit from photographs and human review.

Prepare evidence before dispatch
Keep measurements, photographs, serial numbers and packaging records for valuable or unusual goods. These records support accurate quoting and help explain any later discrepancy.
The sender remains responsible for lawful contents and transport-ready packaging.
Confirm before the truck is sent
Review contacts, addresses, item count, dimensions, weight, access and instructions. If anything changes, request an updated assessment. A booking made against old data can fail at collection.
Attach all required labels and documents and position the freight at the declared pickup point.

Why two freight quotes can look different
One result may assume depot transfers and ordinary commercial access, while another includes a direct vehicle or additional handling. Estimated transit, stackability, tailgate requirements and regional delivery frequency can also differ. Rates are comparable only when the scope is comparable.
Read the service description beside the price. If a required activity is absent, ask whether it is excluded or needs a tailored quote rather than assuming it will happen on the day.
Quote irregular freight with supporting evidence
For machinery, furniture, long products or unstable shapes, supply current photographs and a dimensioned sketch. Identify lift points, fragile surfaces, projections and parts that can be removed. Explain whether the item can be rotated or stacked.
A manual assessment can take longer than an automatic result because equipment and carrier acceptance must be checked. The added detail reduces the risk of a vehicle arriving unable to load.
Set a useful validity window
Freight rates and capacity can change. Confirm how long a tailored price remains open and whether it depends on a nominated date or equipment. Recheck when the booking date, dimensions, quantity or site conditions change.
Do not promise a customer against an unconfirmed estimate. Treat the movement as booked only after acceptance, reference and dispatch documents are available.
For recurring quotations, keep a dated rate record but recalculate after a carrier rule, fuel setting, access condition or freight profile changes. Historical pricing is useful context, not a standing offer.
