A same-day request needs more than “urgent” in the notes. The service must be built around when the goods will actually be ready, the latest useful arrival time, vehicle suitability and access at both addresses. Give us a real ready time
The ready time is when the consignment will be packed, labelled and available at the nominated collection point. It is not when production might finish or when a purchase order is raised. If the driver arrives before the goods are ready, waiting can consume the time the delivery needs.
Identify who will release the freight and provide their phone number. At large facilities, name the building, dock, warehouse or reception desk.
Define the delivery deadline
State the latest acceptable arrival and why it matters. A part needed before a maintenance shift, a tender due at reception and stock needed sometime before close of business create different planning decisions.
If there is a softer preferred time and a hard final deadline, provide both. This gives the team a more useful basis for comparing direct and routed services.
Measure what the vehicle must carry
List every piece with packed dimensions, gross weight and packaging type. Documents or a small carton may fit one vehicle class; multiple cartons, long products or a pallet may require another. Confirm whether the freight can be safely carried in an enclosed vehicle.
Do not rely on a photo alone. Provide measurements and advise of fragile, temperature-sensitive, restricted or dangerous contents before service selection.
Direct and routed same-day options
A dedicated point-to-point movement generally provides greater control over the route and transfers. A routed metro service can combine compatible jobs and may be more economical when the deadline allows it. Neither model should be assumed from the phrase “same day”.
Ask what collection window and delivery expectation apply to the quoted service. The same calendar-day label can represent different operating commitments.
Allow for city access
CBD loading zones, security desks, shopping centres, hospitals, campuses and construction sites can add substantial handover time. Provide booking references, floor or tenancy details, dock instructions and vehicle restrictions in advance.
Standard courier service ordinarily ends at the agreed accessible handover point. Stairs, long internal carries, installation and supervised unpacking need separate assessment.
Make sure the receiver is ready
Confirm the receiver’s name, phone number, address and closing time. Tell them what is arriving and the expected process. An urgent vehicle cannot complete delivery to a locked site or a person who does not recognise the shipment.
If authority to leave is permitted and available for the selected service, decide whether it is appropriate for the goods and location. Do not assume it applies to high-value, controlled or signature-dependent items.

What can disrupt the plan?
Traffic incidents, weather, road closures, late freight readiness, loading delays and receiver access can affect actual timing. Share changes immediately. A deadline calculated from outdated information is not a workable operating plan.
Only describe a time as guaranteed if that commitment appears in the confirmed service. Otherwise, timing remains an estimate based on the information and conditions available.
Track the milestones that matter
Depending on the service, updates can include assignment, collection, progress and proof of delivery. Tracking detail varies and should not be represented as continuous live vehicle visibility unless that feature is explicitly supplied.

Book same-day freight with contingency
Contact us as early as possible, even if the exact ready time is still being confirmed. Early information creates more room to assess equipment and capacity. Do not leave packing, receiver approval or site bookings until the vehicle is on its way.

Confirm completion against the business task
Proof of delivery confirms the available transport handover, not that a technician installed the part or a department processed the document. Tell the internal owner when delivery occurs so the next operational step is not missed.
If a return signature, exchanged item or signed paperwork must come back, describe that as a separate requirement before dispatch.
