Get the South African Importer Code Ready Before the Freight

Identify the registered importer

SARS states that local and foreign importers generally register for customs purposes. A foreign importer also needs to nominate a registered agent in South Africa. Obtain the importer’s exact legal name, customs code, tax details and clearing-agent contact rather than using only the delivery contact’s name.

SARS provides a generic code for qualifying personal and household purchases under specified conditions, but it is not a commercial shortcut for goods intended for business or resale. Commercial consignments should use the responsible business’s proper import setup.

Confirm the tariff heading and customs value

The South African importer or agent should classify the product in the national tariff. Classification determines ordinary duty, possible rebates, anti-dumping or countervailing measures, permit requirements and the VAT assessment. Provide composition, function, model and use so the decision is based on the product rather than a vague trade name.

The commercial invoice should show seller, buyer, importer, invoice date and number, detailed goods, quantities, unit and total values, currency, Incoterm, origin and freight information. A packing list should reconcile every carton, crate or pallet to the invoice.

Understand South Africa’s import-VAT base

SARS publishes a standard VAT rate of 15%, but import VAT is not always 15% of the supplier invoice. For goods imported from outside the BLNS countries, the added tax value generally uses the customs value plus 10% of that value and any non-rebated customs duties before applying VAT.

Duty, anti-dumping charges and product-specific treatment can alter the assessment. Brokerage, disbursement, inspection, storage and domestic delivery may sit outside the international transport quote. Ask the South African agent to calculate landed cost using the confirmed tariff heading and transaction.

Check product authorities separately

Regulated products may involve the National Regulator for Compulsory Specifications, the South African Health Products Regulatory Authority, agricultural authorities or another sector regulator. Electrical goods, vehicles and components, medicines, medical devices, food, plants and animal products deserve early checking.

Obtain any permit or conformity evidence before dispatch. Import approval does not override a carrier’s dangerous-goods rules for batteries, aerosols, chemicals or other restricted articles, and carrier acceptance does not prove customs admissibility.

Choose the South African gateway and service

Johannesburg is a major air and commercial gateway. Cape Town and Durban can be appropriate depending on the final region and transport mode. A service into one gateway should not be priced as though it automatically includes a long domestic delivery to another province.

International courier may suit eligible documents and cartons. Commercial air freight can be more suitable for pallets, oversized parts or broker-controlled airport clearance. Compare the complete door-to-door or airport-to-door scope and identify which party handles customs and final delivery.

Prepare pallets for handling

Use a sound forkliftable pallet or crate, keep the load inside its base and restrain it against movement. State whether it can be stacked and provide final measurements including the base and all protection. Heavy or irregular equipment may need lifting information and photographs.

Confirm whether both ends have a dock or forklift. A tailgate can assist with compatible freight to ground level, but it does not include a crane, stairs, inside placement or installation. Industrial and mine-site deliveries can require bookings, inductions and specific vehicle access.

Address the last kilometre properly

Provide the street number, complex or unit, suburb, city, province, postal code and a local telephone number. Township, farm, estate and gated-premises deliveries may require landmarks, access codes or a nominated meeting point. The importer’s registered address and the physical delivery address should remain clearly distinguished.

If the receiver must produce clearance documents or pay charges before delivery, make that responsibility explicit. Delayed importer responses can create storage or return costs and are outside the carrier’s transit estimate.
