A shipment to Madrid and a shipment to Tenerife do not share the same final route or tax context simply because both addresses are Spanish. Mainland Spain, the Balearic Islands, the Canary Islands, Ceuta and Melilla need to be distinguished before freight is booked.

Identify the Spanish customs territory

Mainland Spain and the Balearic Islands participate in the EU VAT area. The Canary Islands use a different indirect-tax system, while Ceuta and Melilla have their own treatment. Customs and carrier routing can therefore differ even when the country field says Spain.

Write the territory explicitly and supply the correct five-digit postcode. Ask the receiver to confirm which local tax or customs process applies to the goods rather than assuming an ordinary mainland entry.

Confirm the importer and EORI

A commercial shipment needs an EU party ready to import it. The Spanish receiver or another nominated entity may require an EORI and can appoint a customs representative. Obtain the legal entity and contact details before collection.

A holiday property, hotel, event venue or marketplace warehouse should not be named as importer without its agreement. If the consignee cannot accept duty, tax or broker requests, the freight can remain held even after a fast international flight.

Make the commercial invoice specific

List each commodity by its commercial name, material, function, quantity, unit value and origin. “Sporting goods” should become the actual equipment; “replacement parts” should identify the machine and component.

Include the transaction purpose and a realistic value for samples, temporary movements, repairs and warranty items. Ensure Spanish receiver details, invoice amounts, packing list and booking data all match.

VAT, customs duty and IOSS

Goods entering mainland Spain from Australia can attract import VAT and customs duty. Qualifying EU consumer sales of non-excisable goods in consignments up to €150 may use IOSS where VAT was collected at sale and the valid identifier is transmitted correctly.

This does not make every parcel below €150 tax-free. Business imports, controlled products, alcohol and higher-value goods follow other arrangements. Establish who pays border assessments and carrier clearance charges before dispatch.

Spanish product controls

Food, supplements, cosmetics, medicines, plants, animal products and certain electrical or radio products can require additional approval. The importer should check Spanish and EU requirements for labelling, ingredients, conformity and registration.

Alcoholic beverages can involve excise and specialised clearance. Lithium batteries, perfumes, aerosols, paints and chemicals need a separate air-transport eligibility review, even if the item is legal to import.

Prepare Spanish address and contact details

Provide recipient or company, street type and name, number, floor, door or unit, five-digit postcode, municipality and province. Include a Spanish telephone number monitored during business hours.

Apartment blocks, industrial estates and rural fincas can be hard to locate from a shortened label. Retain the full address electronically and add the relevant company department, gate or access note.

Madrid, Barcelona and regional linehaul

Major international flows can connect through Madrid, Barcelona or another European hub. Delivery to Valencia, Bilbao, Seville, Galicia or an inland industrial town then uses a domestic linehaul and local depot.

Island movements may add air or ferry connections and different handling restrictions. A mainland transit estimate should not be promised for the Balearics or Canaries without checking the selected service.

Freight size changes the solution

Courier can suit compatible cartons and urgent documents. Larger multi-piece freight may need commercial air cargo, particularly when an importer has a broker and can arrange airport handling. Compare chargeable weight, per-piece limits and the true delivery scope.

Secure pallets to a sound base, avoid overhang and declare stackability. Confirm the receiver’s forklift or dock access. Tailgate placement at ground level is not equivalent to moving freight upstairs or inside a premises.
