For India-bound courier freight, the receiver is part of the clearance process. A well-packed carton can still be delayed when the consignee’s name does not match their identification, the address evidence is inconsistent or a commercial importer lacks the required registration. Prepare the Indian side before confirming uplift.

KYC is not an after-arrival formality

Authorised couriers handling Indian imports commonly require Know Your Customer documents and a letter of authorisation from the consignee. The legal name, delivery address and contact details used in the booking should align with the recipient’s evidence. Requirements differ for individuals, sole traders and companies.

Ask the receiver which documents they can provide and ensure they will respond to the courier’s KYC request. Do not upload identity documents casually by email; use the carrier’s authorised process and only provide what is requested.

Commercial imports and the IEC

India’s courier-clearance guidance states that an Importer-Exporter Code is mandatory for commercial imports and exports, while bona fide personal-use shipments generally do not require one. A business recipient should confirm its IEC and import eligibility before stock is dispatched.

Calling commercial goods a gift does not convert them into a personal shipment. Samples, ecommerce orders, repairs and intercompany transfers should be described honestly and assigned a defensible value and purpose.

Use the complete Indian address

Provide recipient name, company where applicable, building or flat, street, locality, city, state and six-digit PIN code. Add an active Indian mobile number and email. Similar locality names and broad city labels are not enough for final delivery.

For factories, campuses and technology parks, include the gate, unit and receiving department. For residential complexes, include tower, floor and flat. The address used for delivery should be reconcilable with the consignee’s KYC evidence.

Prepare a customs-ready invoice

List each commodity with material, function, brand or model where relevant, quantity, unit and total value, currency and country of origin. “Engineering samples” should identify the actual components. Provide an HS code if confirmed and state whether the movement is a sale, free sample, warranty replacement, repair or return.

Indian Customs may assess duty and taxes according to the goods, classification and value. Gifts and personal imports are not automatically exempt. The authorised courier normally communicates any payment and clearance requirements to the importer.

Goods that need additional checks

Food, supplements, cosmetics, medicines, medical devices, wireless equipment, chemicals, seeds and plant or animal products can require approvals from Indian agencies. Used equipment and products subject to standards or labelling rules may also need specialised advice.

Obtain the receiver’s confirmation before uplift. For batteries, aerosols or chemicals, provide air-transport specifications and safety data so carrier acceptance can be checked separately from customs permission.

Metro and regional delivery

Delhi NCR, Mumbai, Bengaluru, Chennai, Hyderabad, Kolkata, Ahmedabad and other major centres have substantial express-courier activity, but building access and PIN code still control the last mile. Industrial areas may have gate or receiving-window restrictions.

Deliveries to smaller cities, rural districts, hill regions and islands can involve extended-area schedules or local handovers. Quote the final PIN code and do not promise a metro estimate to a regional receiver.

When air freight may suit better

Courier can work for compliant cartons whose consignee can complete KYC clearance. Larger commercial shipments or pallets may be better assessed as air freight with a broker, cargo terminal and importer process established in advance.

Confirm whether the quote includes delivery beyond the airport and whether the receiver has unloading equipment. A door-to-airport movement is not the same scope as delivery into a factory or warehouse.

  • full Australian collection and Indian delivery addresses;
  • six-digit PIN code and active Indian phone number;
  • consignee name matching the intended KYC documents;
  • individual, business and importer status;
  • IEC and authorisation readiness for commercial cargo;
  • piece count, packaging, dimensions and gross weights;
  • specific descriptions, HS codes, values, currency and origin;
  • permits, product registrations or dangerous-goods documents; and
  • deadline, duty payer and person monitoring clearance.

Keep the receiver engaged

India-bound tracking may show arrival while clearance is still awaiting KYC, duty payment or additional documents. The receiver should monitor calls and email and respond through the authorised channel. Transit estimates do not include an unlimited customs hold.
