Japan rewards precision. The recipient address needs the correct prefecture, municipality, district, building and unit, while the customs description needs the actual material and function of each product. Food, plants, animal products, medicines and cosmetics can also move from a normal courier question into quarantine or regulatory review.

Use the receiver’s Japanese address format
Ask the receiver for the full address in Japanese characters and a Romanised version if available. Capture the seven-digit postcode, prefecture, city or ward, chome, block and building numbers, building name, floor or room, recipient name and Japanese telephone number.
Japanese addresses are often written from larger area to smaller location, while international systems may reverse the order. Do not guess the conversion. Keep the locally verified address in the booking notes and ensure the parcel label remains legible.
Describe products at component level
A commercial invoice should state the actual product, material, function, model or part number, quantity, unit and total value, currency and country of origin. “Accessories” could mean cables, brackets, batteries or jewellery—each has different classification and controls.
For samples or prototypes, use a reasonable customs value and explain the business purpose. For repairs or returns, identify the original item and transaction where available. Ensure the invoice and packing list match the physical cartons.
Japan Customs prohibited and controlled goods
Japan Customs identifies prohibited goods and also goods controlled under other laws. Firearms, narcotics, counterfeit currency and intellectual-property-infringing articles are among prohibited categories. Restricted products may need permits, inspection or another government agency’s approval before customs release.
Check current official rules for the exact commodity. Carrier acceptance does not override Japanese law, and personal-use wording does not remove a restriction.
Plant and animal quarantine is a separate gate
Plants, seeds, fruit, vegetables, soil, meat, sausages and other animal products can fall under plant or animal quarantine. Some require certificates and inspection; others may be prohibited from particular origins. These rules can apply to gifts and small parcels as well as commercial freight.
Do not pack food or biological material among unrelated products without confirming eligibility. A mixed parcel can be held because one undeclared item requires quarantine.
Medicines, cosmetics and health products
Japan applies quantity and approval controls to medicines, quasi-drugs, cosmetics and medical products. Personal-use allowances should not be treated as permission for commercial quantities. The receiver should check with the relevant Japanese health authority before dispatch.
List active ingredients, form, quantity and intended use accurately. Supplements and therapeutic products should not be declared merely as “health goods”.
Pack for disciplined network handling
Use rigid external cartons, isolate each product and prevent movement. Japanese receivers often expect clean, identifiable packaging and exact piece counts. Place labels on flat surfaces and remove old barcodes.
Lithium batteries need correct configuration and watt-hour details. Aerosols, perfumes, chemicals and other dangerous goods require carrier approval for air transport. An item can be legal to import but ineligible for the selected flight service.
Tokyo, Osaka and regional Japan
Tokyo, Yokohama, Osaka, Kobe, Nagoya, Fukuoka and other major centres have extensive delivery infrastructure. Nevertheless, office towers, shopping centres and factories may impose goods entrances, appointments and receiving hours.
Hokkaido, Okinawa and remote islands can involve additional domestic legs or different schedules. Enter the final postcode and do not reuse a Tokyo transit assumption for another prefecture.
Courier cartons or air-freight pallets
Express courier can suit compliant cartons with a complete delivery address. Larger commercial consignments may need air freight, broker clearance and local transport from the cargo terminal. Pallets require a sound base, stable restraint and confirmed unloading at destination.
Compare the full service, including customs entry and delivery. Airport-to-airport freight is not the same as delivery into the receiver’s building.
