Vietnam-bound freight needs alignment between the Australian exporter, the Vietnamese importer and the product’s regulatory status. A shipment described clearly for transport may still be too vague for tariff classification, product licensing or standards checks. The importer should verify the commodity before uplift.

Confirm the importer of record

Commercial cargo should have a Vietnamese entity able to act as importer and comply with the relevant business and product requirements. Identify that party on the commercial paperwork and establish who will lodge the customs entry, hold permits and pay duty or tax.

A receiver’s warehouse address alone does not confirm importer status. If a broker or trading company is involved, document the relationship before booking. Samples and repairs also need a lawful receiving and clearance arrangement.

Build the address from province to premises

Obtain the receiver’s current Vietnamese-format address, including province or municipality, district, ward or commune where used, street, building and unit, plus postcode where available. Administrative names can change, so use the wording the recipient confirms rather than an old database entry.

Include a Vietnamese mobile number and email. Industrial parks should specify the zone, gate, factory and receiving contact. A city name alone will not guide the driver through a large manufacturing complex.

Classify the product before shipping

The commercial invoice should name the product, material, function, brand and model, quantity, value, currency and country of origin. Provide the HS code agreed with the importer or adviser. Different components in one kit may require separate lines.

Vietnam’s official Trade Information Portal allows traders to search procedures, forms, measures and standards by commodity. Use it with the importer to identify permits and documentary requirements rather than guessing from a general product category.

Duty, VAT and origin documents

Import duty and value-added tax depend on classification, customs value and any valid preferential treatment. Australia and Vietnam participate in trade agreements that may reduce duty for qualifying goods, but a preference needs correct origin and evidence.

Goods merely dispatched from Australia are not necessarily Australian-origin. Confirm whether a certificate or declaration of origin is needed and ensure it matches the invoice and transport documents.

Products requiring specialised review

Food, supplements, cosmetics, medicines, medical devices, telecommunications equipment, chemicals, plants, animal products and some electrical goods can require licences, conformity procedures or inspection. Used machinery and used consumer goods may face additional condition or policy restrictions.

Provide specifications, ingredients, manufacture date, model and intended use to the importer. Do not uplift controlled goods while an application is merely planned.

Dangerous goods and technical freight

Lithium batteries, aerosols, paint, laboratory chemicals and machinery containing fuel or residue need air-transport assessment. Supply a safety data sheet or technical specification when applicable. Dangerous-goods acceptance is carrier- and route-specific.

For machinery, isolate power, drain prohibited fluids, restrain moving parts and identify lifting points. A customs permit does not make an unpackaged or unsafe unit transport-ready.

Hanoi, Ho Chi Minh City and regional Vietnam

Ho Chi Minh City and southern industrial provinces, Hanoi and northern manufacturing areas, and Da Nang in central Vietnam each connect through different cargo and delivery patterns. The destination may be a city office, port-related warehouse, industrial park or regional distributor.

Deliveries to the Mekong Delta, central highlands, northern provinces or islands can involve additional local schedules. Quote the final province and district and confirm whether delivery is to the street address or a regional depot.

Courier cartons or air-freight cargo

Courier can suit compliant documents and cartons where the receiver can complete express clearance. Larger commercial consignments may need air freight with broker, terminal and final transport defined. A pallet also needs unloading equipment at the Vietnamese site.

Compare chargeable weight, cut-off, customs procedure and delivery scope. The quickest flight is not useful when a formal entry or permit remains incomplete.
