Malaysia is split between Peninsular Malaysia and the states of Sabah and Sarawak on Borneo. A shipment to Kuala Lumpur or Johor does not have the same domestic delivery path as freight to Kuching, Kota Kinabalu or an interior East Malaysian location. The destination state must be defined before a service is compared.

Separate Peninsular and East Malaysia

Kuala Lumpur, Selangor, Johor, Penang and other Peninsular markets connect through different gateways and road networks from Sabah, Sarawak and Labuan. East Malaysian deliveries may require another air or local-courier leg, and rural or island addresses can have extended schedules.

Use the final state, city and postcode. Do not select a Kuala Lumpur estimate for a receiver on Borneo merely because the shipment enters Malaysia through a major gateway.

Confirm the Malaysian importer

Commercial goods need an importer capable of making the customs declaration and holding any product permits. Record the consignee’s legal name, business registration information when required, local phone and email. Personal shipments should still have an identifiable receiver able to respond to customs requests.

Agree who will pay duty, sales tax, brokerage and any local charges. A quoted transport rate is not automatically a delivered-duty-paid price.

Sales tax and low-value online goods

Malaysia’s sales-tax system applies to taxable imported goods. It also has a specific low-value-goods regime for online goods sold at RM500 or less: registered sellers above the applicable sales threshold collect a flat 10% sales tax under the current official MyLVG framework.

This ecommerce mechanism is not a universal tax exemption or a substitute for normal commercial-import procedures. Rules and rates can change, so online sellers should check current Royal Malaysian Customs guidance and ensure any registration number is correctly transmitted.

Prepare the customs description

List product name, material, function, brand or model, quantity, unit and total value, currency and country of origin. Provide HS codes where confirmed. State whether the goods are sold, sampled, repaired, returned or sent for personal use.

Descriptions such as “household items”, “machine parts” or “beauty products” may not support classification or permit checks. Separate different product types on the invoice and reconcile them to the packing list.

Check product prohibitions and permits

Royal Malaysian Customs directs importers to check the current Prohibition of Imports Order before importing. Food, cosmetics, medicines, medical devices, telecommunications equipment, plants, animal products, chemicals and electrical goods can involve other Malaysian regulators.

E-waste and used electrical or industrial goods need particular caution. The condition, intended use and exact product should be verified by the importer before dispatch. Dangerous goods must also meet air-carrier rules.

Address and delivery access

Provide building or house, street, taman or industrial estate, city, state and five-digit postcode, plus a Malaysian phone number. Condominiums and office towers require unit and floor details; factories may require a gate, dock or receiving department.

Remote plantations, projects and island destinations need access and unloading information. Confirm whether the service delivers to the address, a local depot or another collection point.

Prepare for bilingual delivery communication

English is widely used in Malaysian commerce, but local delivery instructions may be supplied in Malay, Chinese or another language. Keep the receiver’s own address wording in the booking notes and identify a contact who can guide the driver. This helps with industrial estates that have several entrances and rural premises without obvious street numbering.

Courier versus air freight

Express courier can suit compliant cartons and ecommerce orders. Air freight can be assessed for consolidated cartons, pallets or goods requiring a formal broker arrangement. Compare chargeable weight, clearance method and final delivery, not only the flight time.

Declare the completed measurements. Carrier remeasurement or a postcode change can create adjustments. Pallets need mechanical unloading and must be stable, restrained and correctly labelled.
