Sending a parcel overseas adds more than an international flight to an ordinary delivery. The carrier needs accurate package data, border authorities need a meaningful declaration, and the receiver may need to respond about duties, identity or clearance. Preparing those three parts together is the simplest way to avoid preventable delays.

Start with the destination and required date
Use a complete street address written in the destination country’s accepted format. Include the receiver’s full name or business, postcode, locality, country, phone number and email. A usable local contact is important if the delivery partner or customs team needs instructions.
Tell us when the parcel will be ready and when it is genuinely needed. Express services prioritise speed but still pass through export, aviation, customs and final-delivery stages. Standard or economy options may suit non-urgent stock, samples or documents when available. Transit estimates do not include every possible customs hold or receiver delay.
Check the contents before choosing the service
Not every product accepted within Australia can travel internationally by air. Batteries, aerosols, perfume, alcohol, chemicals, paint, medicines, food, seeds, animal products and items containing timber can be prohibited, restricted or documentation-sensitive. Destination-country rules can differ from Australian export and carrier rules.
Provide the exact item name, material, quantity and condition. If a product has a battery, state whether it is installed, packed with equipment or shipped separately, along with the battery type and rating. Do not conceal or simplify a regulated product description to obtain a label.
Pack for sorting, transfers and weather exposure
Choose a rigid carton that fits the contents with room for suitable cushioning but not a large unused void. Protect products individually, separate hard surfaces, keep weight away from carton walls and fill movement space. Seal the top and bottom seams with quality packing tape and remove every previous barcode or address label.
The retail box is rarely enough on its own. Place it inside a transport carton when it is decorative, lightweight or not designed for distribution handling. For fragile or valuable items, consider double boxing or a fitted case inside an outer carton. The sender remains responsible for adequate packaging.
Measure and weigh the finished parcel
Record the longest side, then the other two outside dimensions at their widest points. Include any bulging, caps or protrusions. Weigh the parcel after cushioning, tape, labels and documents are added. International pricing may use the higher of actual and dimensional weight, subject to the carrier’s method.
Accurate dimensions also determine eligibility. A parcel that becomes unusually long or heavy may need a freight service rather than an automated courier product.
Write a customs description that explains the item
“Gift”, “sample”, “parts” and “merchandise” describe the reason or category, not the goods. Use plain, specific wording such as “two cotton work shirts”, “aluminium mounting brackets” or “printed product catalogues”. State quantities, values, currency, country of origin and the purpose of the shipment accurately.
Commercial sales generally need a commercial invoice. Non-sale movements such as samples, returns or repairs still require a truthful value and reason for export. Zero or unrealistic values can delay assessment. The sender is responsible for classification, licensing and declaration accuracy.
Agree who pays destination charges
Import duties, taxes and other charges can be assessed separately from the courier price. Discuss the applicable trade terms and payer with the receiver before sending. If the receiver must pay, make sure they expect the contact and will respond promptly. Refusal or non-response can lead to storage, return or disposal costs.

Book, label and keep a shipment record
Once the service is confirmed, attach the routing label flat on the largest surface and place documents in the required pouch or electronic workflow. Keep copies of invoices, permits, product information, photographs and the tracking number. Tell the receiver what was sent and how to recognise legitimate clearance contact.
Tracking scans show progress, not continuous GPS movement. A gap between export departure and the next import scan can be normal. If an exception appears, the most useful response is often a document, payment or receiver confirmation rather than repeated tracking refreshes.
